Do you know how to delegate effectively?

Delegating works of low value but high importance to one’s juniors or subordinates is one of the smartest ways for effective time management. As it is not possible for a key executive to complete all tasks oneself, the need for delegation arises – but how can you complete this effectively?
Proper delegation not only offloads the pressure of work from key persons of the company but also ensures that there is proper division of labour and all tasks get completed on time and to the highest standard. The inability to delegate work responsibly has led to the downfall of many executives and business leaders and this means lessons need to be learnt.
The inability to delegate can lead to a real sense of pressure and work overload. This can result in growing ineffectiveness, burn-out, depression and feelings of helplessness. One cannot do everything that everyone expects and trying to do so will only be detrimental to your health and the health of your business.
Effective delegation of important tasks therefore needs to be learnt by skilled supervisors and managers if they find themselves lacking. The most important things to learn are whom to delegate to and how to delegate so that works gets completed on time with all targets achieved.
Here are some points which need to be taken care of before delegation:
- Articulate the desired outcome to the person whom the work is to be delegated. Keep the end result in mind and specify the desired results.
- Always select the right people to delegate to, considering their suitability and expertise. People who are closest to the work are best suited for the task because they have the most intimate knowledge of the details involved and this increases workplace efficiency and helps to develop your staff proactively.
- The supervisor should focus on the results rather than detailing how the work should be done. Allow the person to select the appropriate way and don’t try to control his or her methods as this could prove counterproductive.
- Build enough motivation and commitment in the form of monetary rewards, appreciation, and recognition and future opportunities to encourage your workers to complete their assigned tasks. Always show your gratitude for their hard-work and never underestimate the power a simple ‘thank you’ can have.
